PDF vs Word (DOCX): Technical Differences, Compatibility & When to Use Each

Compare PDF and Microsoft Word DOCX formats in-depth: fixed layout rendering vs reflowable typography, XML schemas, font embedding, and legal admissibility.

Two Radically Different Document Philosophies

While PDF and DOCX both contain text, images, tables, and formatting, they were engineered for fundamentally opposite design objectives:

  • DOCX (Reflowable Document): Designed for creation and collaborative editing. Content flows dynamically like HTML. If a recipient opens the file on a monitor with different default margins, different installed system fonts, or a mobile screen, the text wraps and reflows across new page boundaries.
  • PDF (Fixed-Layout Digital Paper): Designed for distribution, archiving, and presentation. Every character, vector line, and photograph has an absolute mathematical coordinate (X, Y) relative to the physical page dimensions (e.g., standard 72 points per inch). A PDF looks identical on Windows, macOS, Android, Linux, or a commercial print press.

Internal Architecture: Office Open XML vs PostScript Model

A .docx file is actually a compressed ZIP archive containing an XML structure defined by the ISO/IEC 29500 standard (Office Open XML). You can rename any .docx file to .zip and inspect its contents:

document.docx.zip/
  ├── [Content_Types].xml
  ├── word/
  │ ├── document.xml (Main text & paragraphs)
  │ ├── styles.xml (Typography hierarchies)
│ └── media/ (Embedded JPG and PNG images)

By contrast, PDF is an object-oriented file format descendant from Adobe's PostScript printer description language. Text characters are positioned using drawing commands such as BT /F1 12 Tf 72 712 Td (Hello World) Tj ET. It instructs the rasterizer engine precisely where to draw each ink glyph on the canvas.

Legal Admissibility and Digital Signatures

In enterprise contracts, government tenders, and court proceedings, PDFs are universally preferred over DOCX for three regulatory reasons:

  1. Cryptographic Tamper-Evidence: PDF digital signatures (using X.509 PKI certificates) cryptographically seal the document byte stream. Any subsequent character change or whitespace addition immediately invalidates the cryptographic hash.
  2. PDF/A Long-Term Archival Standard: Specified by ISO 19005, PDF/A strictly forbids dynamic external references, encrypted streams, and non-embedded fonts to guarantee readability 50 years into the future.
  3. Read-Only Presentation: Standard PDF readers do not encourage accidental keystroke edits that frequently alter draft contracts in Word.
